2. Prices, Payment & Dynamic Pricing
- All prices on the website are in Danish Kroner (DKK) and include 25% VAT.
- As we operate with strictly limited capacity on our premium equipment, full payment is required at the time of online booking. Your reservation is thereby finally confirmed.
- Price Roulette and Campaigns: Vesterkilde uses periodic campaigns and dynamic pricing. The price accepted at the time of purchase is binding. Price differences will not be refunded retroactively if a lower price is made available later.
- Surcharge for extra participants: For Phygital Escape Tours, the base price covers the stated number of participants. Due to equipment capacity limitations, extra participants incur a surcharge of 50 DKK per person, which must be registered and paid upon booking.
3. No Right of Withdrawal (Cooling-off Period)
In accordance with the Danish Consumer Contracts Act (Forbrugeraftaleloven) § 18, subsection 2, no. 12, the purchase of recreational leisure activities bound to a specific day or time frame is exempt from the right of withdrawal. Your booking is therefore final and legally binding once the payment has been completed.
4. Cancellation, Rebooking & Weather Conditions
Our capacity is exclusive, and no-shows severely impact our operations.
- Cancellation: Bookings are non-refundable. If you wish to rebook your tour to another available date, this must be agreed upon in writing with us no later than 48 hours before the start time. In case of cancellation less than 48 hours before the start time, or in case of a no-show, the payment is lost.
- Outdoor is Outdoor: Rain, wind, and mud on the tires are a natural part of a West Jutland adventure and do not entitle you to cancel or request a refund. Dress according to the weather conditions!
- Cancellations by Vesterkilde: We only cancel tours in case of hazardous weather conditions (e.g., DMI storm warnings, severe thunderstorms, or fallen trees in the plantation). In these extreme cases, you will be offered a fee-free rebooking or a full refund.
5. Meeting Time & Delays at Basecamp
- Arrival: Our equipment is tightly scheduled. Please arrive at our Basecamp (the large cream-colored Blue Moose Bell tent) at least 10 minutes before your reserved time slot for your briefing and equipment handover.
- Are you delayed? If you arrive late, the delay will unfortunately be deducted from your total tour time. Under no circumstances can we extend your time at the end of the tour, as the equipment must be cleaned in our backstage tent and prepared for the next guests.
6. Liability & Equipment Care
- Own risk: All movement in Blåbjerg Klitplantage and the use of our Kostka kickbikes are at your own risk. We strongly recommend wearing a bicycle helmet. The Danish Nature Agency’s (Naturstyrelsen) traffic rules in the forest must always be followed, and consideration must be shown to pedestrians, horseback riders, and wildlife.
- Liability for Premium Equipment: Our Kostka kickbikes and custom-built Phygital Escape backpacks (including physical props and smartphones) are of the highest quality. Mud and normal wear and tear are expected, but as a renter, you are personally liable for the equipment during the tour. In the event of damage caused by gross negligence, intentional vandalism, reckless riding, or loss of props, we reserve the right to charge the full amount for repair or replacement value.
7. Special Terms for Dog Mushing (Dog Welfare)
Dog welfare is an absolute and uncompromising requirement at Vesterkilde.
- Dog Mushing takes place exclusively in the early morning or late evening to protect the dogs from overheating.
- It is 100% your responsibility as an owner to ensure that your dog is healthy, fit, and in the right physical condition to pull, and that the dog is covered by mandatory liability insurance.
- Vesterkilde’s Veto Right: We always reserve the right to reject a dog before the start or interrupt a tour if we assess that the dog shows signs of stress, is not fit, or if the temperature unexpectedly gets too high on the day. In these cases, the booking will be converted (without refund) to a regular kickbike tour for the owner to protect the animal.
8. 10-Trip Punch Card (Klippekort)
- Our 10-trip punch card (1.250 DKK) is valid for 12 months from the date of purchase.
- The card is personal (or linked to one household) and cannot be resold.
- Unused punches cannot be refunded, extended, or exchanged for cash after the expiration date. Remember to pre-book your time slots online, even if you have a punch card, to guarantee equipment availability.
